ApplyArc ("we", "us", "our") provides a professional job search management platform designed to help users organize applications, track communications, and manage resumes. We take your privacy seriously and are committed to protecting your personal data in compliance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).

1. Information We Collect

  • Account information: Your email address, password, and region preference when you sign up for an account.
  • Usage data: Log and analytics data (e.g., page visits, device type, timestamps) to improve platform performance and understand product usage.
  • Application and resume data: Any information you upload or create within ApplyArc, such as job details, company names, notes, and resume files.
  • Inbound email data: If you forward job-related emails to your ApplyArc inbox, we process and store those messages (including attachments) securely on your behalf.
  • Support communications: Any messages you send to us through email or support channels.

2. How We Use Your Information

  • To provide and maintain your ApplyArc account.
  • To improve platform functionality and troubleshoot issues.
  • To personalize parts of the product (e.g., locale, region).
  • To communicate important service updates or policy changes.
  • To analyze anonymized or aggregated usage data for performance, product decisions, and feature planning.

3. Data Storage and Security

ApplyArc is hosted in the United States using Supabase, which provides secure, encrypted storage and authentication. All communications between your browser and our servers are encrypted via HTTPS.

While no online service can guarantee 100% security, we use reasonable technical and organizational measures to protect your information against loss, misuse, and unauthorized access.

4. Cookies and Tracking

We use strictly necessary cookies to maintain your session, security, and region settings. Optional analytics cookies may be used with your consent to understand platform usage. You can manage cookie preferences at any time from the "Cookie Settings" link in the site footer.

5. Your Rights

Depending on your location, you may have the following rights:

  • Access the personal data we hold about you.
  • Request correction or deletion of your data.
  • Withdraw consent for non-essential processing.
  • Request a copy of your data for portability.

6. Data Retention

We keep your data only for as long as it is needed to provide the Service, or as required by law. In practice, this means:

  • Active accounts: We retain your data while your account is active and you continue to sign in from time to time.
  • Free accounts and inactivity: If your account is inactive for a long period, we may mark it as inactive and schedule it for deletion. Before we do this, we will send an email warning and provide a grace period so you can sign in and keep your account if you wish.
  • Paid accounts (including one-off and subscriptions): If you have ever made a successful payment to ApplyArc (for example, a subscription payment or a one-time purchase), we will retain your account and associated data for at least 5 years after your last successful payment. During this retention period, we will not automatically delete your account purely for inactivity. After this period, our standard inactivity rules may apply again, and you will still receive an email warning before any deletion.
  • User-initiated deletion: You can permanently delete your account from within ApplyArc. Once deletion is confirmed, we remove your personal data and uploaded content from active systems, subject to limited backups and logs as described below.
  • Backups and logs: Due to technical constraints, some data may remain in backups or system logs for a limited time (for example, up to 30–90 days). This data is automatically purged on a rolling basis and is not actively used after your account is deleted.

7. International Data Transfers

Because ApplyArc is hosted in the U.S., data may be transferred and processed outside of your home country. For users in the EU/EEA and the UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses and equivalent mechanisms, where applicable, to ensure adequate protection.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via in-app notice or email. Your continued use of ApplyArc after changes take effect indicates that you agree to the updated policy.
